Board Meeting

October 28, 2008

Members Present:  Laura Hyde, Dick Juntunen, Tom Cutsforth, Dale Burrows, Greg Fortier, Jason Hedding, and Carol Wood

President Laura Hyde called the meeting to order at 7:02 pm.  A motion was made, seconded, and passed to approve the September minutes.

Manager/Pro

Dick reported the next work party would be Sunday, November 9, from 1:30-4:00 pm.  The following items still need to be done:

Ø      Detach water fountain and store for winter

Ø      Pool cover needs to be removed and stored

Ø      Put winter cover over the pool

Ø      Remove and store windscreens from outdoor courts

Ø      Remove stump and concrete pieces from the area between the pool building and outdoor courts

Ø      Install new screen door on the deck

Ø      Complete installation of blinds in the upstairs lounge area

Ø      Complete replanting of replacement plants around the building

Ø      Suggestions for what to do with the 20 old metal fence poles with concrete on the ends are welcome.

Dick reported Gus Arzner would be happy to help us with the pool this spring.  Gus recommended going ahead and winterizing the pool now.

Dick also reported the property tax bill came in at $11,369.

Dick asked if someone wanted to change their membership status from a family to a single membership can the club do that?  Several options were discussed:

Downgrading from a family to a single membership:

1.      Similar to selling a single membership; transfer fee of $100, $200, difference to the seller

2.      Seller gives club $100 transfer fee, surrender $200, pay single membership. 

Upgrading from a single to a family membership:  pay the difference, no transfer fee. 

Tom will check into this.  Dick will check with Del Githens to make sure that he only wants to change his membership and dues to a single membership.

There was consensus that Club members could change their membership type as follows: 

Ø      Continue paying the applicable monthly dues until the member sells the single or family equity membership less the $100.00 transfer fee due the Club and then purchase the opposite type of equity membership from that what was sold and then begin paying the applicable monthly dues; or

Ø      The member can request that the equity membership be reclassified from a family to single or single to family, begin paying the applicable monthly dues, and, in the future, would only be able to sell the equity membership as the newly reclassified type less the $100.00 transfer fee.

Tim reported there are two new equity singles members:  Gary Kenton and Mike Gemperle, who were coming from Tennis West and were considering either joining Timberhill (which was running its annual membership drive with reduced fees) or ATC.  He said that he waived the initiation fee for Gary and Mike.  Tom said that it would be appropriate for the Board to weigh in on whether or not to waive initiation fees or change them when there are special circumstances.  A motion was made, seconded, and passed to approve the two new members.

The annual ATC Club doubles tournament will be December 6 and 7.  Flyers to follow or see Tim for more information.  Scheduled events are mixed and regular 6.0, 7.0, and 8.0 doubles.

On November 8, there will be a junior tennis exchange at Courthouse. 

Grounds

Tim reported the key card entry system is in and working.  So far, 200 cards have been activated and loaded into the system.  The front door arm mechanism at the top of the door will need to be fixed and another computer part is needed from John Bell for tracking usage before the system is completely up.  Tim will get a database going so we can get the cards out to club members.  Once the system is up and running, all other doors into the club will be rekeyed.

Tim will check with G&E for an update on the court light sensors.  The proposal is to have the doors lock and the lights go off at 10:30 pm and then reopen at 5:00 am.  The burglar alarm system will also need to be changed to these hours.

Greg reported the property line has been visually inspected and looks okay.

Greg also reported the cracks along the outdoor courts have been filled in.  Thanks to Greg and Glen for their efforts.

The project to tile the upstairs sink area has been completed.

Tennis Committee

Dick reported the results of league play are posted on the bulletin board.

Tom commented we need to increase the club value so we can attract new members.

Tom will check and see if Dick can sign checks to move club money into different accounts.

Board Business

Kudos to Egil for all of the yard work he has been doing which include putting hoses around the new trees, ivy removal, and general all around yard work.

Next spring, the BPA will purchase water bags for the new trees.  The City Forester will check out what is needed.

Dale mentioned a request from a member to refill and clean the water cooler.  Dick will check and see how much it would cost to clean or service the cooler and also to check on the cost of a bottled water service.  Dale will report back to the member.
