Board Meeting
July 15, 2008

President Laura Hyde called the meeting to order at 7:00 pm. A motion was made, seconded, and passed to approve the June minutes.
Business from Club Members
Egil Johnsen had several questions for the Board:
1. The toilet in the men’s room has been out of order for weeks. Why is it not fixed? Answer: The toilet has been fixed. Why isn’t the outside shower in the pool area fixed? Tim reported he and Greg will also look into repairing the outside shower. [Greg and Tom have fixed the pool shower.]
2. Who is responsible for taking care of the outside furniture and the grounds around the swimming pool? Answer: The lifeguards.
3. Who is responsible for removing garbage and recycling cans from around the swimming pool and picnic area? The Club’s surroundings look like a pig house sometimes. Answer: The lifeguards and Tim. Tim will also get another garbage can for the area.
Egil also recommended the water drip system be changed to run for 60 minutes.
Egil is still having trouble with his dues. Tim will work with Lori to straighten this out. [Egil’s statement is correct. Lori and Tim had already explained the details of his bill printout. In checking with Lori following this meeting, all that was due was the $50 yearly maintenance fee.]
Manager/Pro
Junior tennis: Tim reported the Challenger tournament has 36 entries, down 12 from last year. Five ATC members are signed up to play. Because of the Olympic Trials, all the tournaments were bunched together with 5 others at the same time. There are 72 signed up for the Champs tournament the weekend of July 19-20.
The current junior classes have 5 tiny tots, 6 advanced/beginners, 12 intermediate, and 9-12 high school kids signed up.
The Albany City Tournament will be held at ATC August 1-3.
Tim reported he needs a business license to operate the pro shop.
New members: Brad Shreve and family, equity membership; and Casey Day, junior membership.
A motion was made, seconded, and passed to approve the new members.
Tennis Committee
The ATC 8.0 Senior mixed team will be at Sunriver for Sectionals in August. There are still 2 weeks left to sign up for the 2009 senior league.
Finance
The new format may be done by August.
Income: $85,957

Dick was concerned that we are not earning as much as expected. Tom believes there is an error on the income sheet with the summer membership. The swim lesson income will be entered at the end of August.
Mortgage Update
As of July 15, the current loan is $167,723. We have been approved for $188,000, which is the loan plus $20,000 (rounded up) to be used for projects. So, the new structure looks like this:
· 180 months, 6.50%, monthly payment of $1647, which is less than we are paying now.
· Rate: 5-year treasury constant maturity plus 3.18%. This requires ATC to establish a primary deposit relationship (checking account) with Umpqua Bank (switch from Washington Mutual).
· Fees
o ¼ % of $188,000 = $470
o Filing Fee: $35
o Title Insurance: $200
A motion was made, seconded, and passed to accept the proposal from Umpqua to switch our checking account from Washington Mutual to Umpqua and to refinance the Club’s loan at the new rate of $188,000 for 15 years starting July 15, 2008.
Grounds
Keyless lock entry system update: A motion was made, seconded, and passed to accept John Bells’ (Electronic Security Protection, Inc) final estimate for the front door plus adding an entry for the pool gate. Total cost is approximately $2,756. A mailing to all members will be sent out to apprise everyone of the new system.
Tom suggested putting a lockable doorknob on the gate between the outdoor courts and the street.
G & E Electric has submitted a proposal of $656 to install 2 time clocks to control the indoor court lights. Tim will check to see if G & E can provide “momentary” power switches on the system for $100 or less. A motion was made, seconded, and passed to approve G & E’s estimate with momentary switches added as long as the price with the switches added is not more than $100. Tim and Dale will be do follow-up with G & E.
The burglar alarm system is currently on from 12:00-5:00 am. This is not costing the Club any money; so we will keep the system.
Regarding the property line survey, Greg reported that we need to come up with any records, information, files, titles, etc,. from previous property line surveys to help the surveyors find all 3 monuments. Tim found an old file with ATC boundaries, and Tom and Greg will check it out.
Swim Committee
Dale has been busy painting the benches. He would also like to make a list of tasks before deciding if we need a work party.
The patio area needs cleaning/tidying up.
The pool cover has fallen into the pool several times; so no one has been pulling the cover over the pool at night. This is on the lifeguards’ checklist of things to do. [Greg and Tom fixed the problem with the pool cover mechanism so the pool cover can be properly put on and pulled off the pool.]
The pool has been a lot clearer this year. The pool thermostat heater needs some work. [Greg Gardner has fixed the thermostat.]
Web site Issues: Should Glen be listed as being on the Board? He’s to be listed as the Maintenance/Grounds Committee Chair. The calendar also needs updating.
Board Member Business
BPA’s Urban Forester is working with Garland‘s to replant/replace the ones that were removed on the east side of the Club. This is to be done in September.
