Board Meeting
January 8, 2008

President Laura Hyde called the meeting to order at 7:00pm. A motion was made, seconded, and passed to approve the December minutes.

Manager/Pro
Tim is working on a proposal to present to Fir Grove and Oak Grove Elementary Schools to work with their PE classes to introduce the students to tennis. This will start the last week in January. Liberty School is next on the list.
There will be a club mixed doubles tournament February 9/10th. Divisions are 6.0, 7.0, and 8.0. Tim is working with Dick to get sign up sheets out. More than one division can be entered.
The annual John and Phil’s tournament will be using the ATC courts January 18th and 19th. Open and Senior events will be held at the club.
ATC is joining with the Eugene Y to form a team for the Junior team tennis league. There are 5 junior members from each club. Timberhill, Eugene S&T, and Salem S&T are the other teams competing in the league. League play will hopefully start by January 18th. Match results will be posted on the bulletin board.
Tim reported the junior classes are filling up quickly.
Tim discovered the club had been vandalized sometime Friday, January 4th. The locked ball basket had been bent in order to gain access to the balls. Some kind of epoxy had been applied to the front door lock according to the locksmith Tim called in to repair the lock. Some of the pins in the lock were replaced, however, some members keys will not work in the lock now. Greg Fortier reported he had come over to the club late Friday night (January 4th) and found the south door open, balls all over courts 1 and 2, and the lights still on. Another group of 6 kids left balls all over court 3 during men’s night January 2nd. Tim will mention something to his junior classes about these problems.
Tim is still getting bids for keyless locks.
Tim is talking with Bob Schueller about putting timers on the court lights. This may curb some of the late night activities.
Three single members decided they would like to sell their memberships, of which 2 are medical. They have been notified they still need to pay their dues until the membership is sold.
Steve Monday will be our janitorial service starting Friday, January 11th. He will be coming in every other week for several hours.
AC Tree Service came out and looked at trees, branches, overgrowth, clearing ivy, and trimming bushes for $400.
The new pool cover is up.
Tennis Committee
Dick reported there are flyers out for the USTA Adult league. The deadline for team registration is January 11th. So far there are a 3.5 Women’s team, and a 3.5 and 4.0 Men’s team that have formed. There is also a combined 4.0 Women’s team from ATC and Salem Tennis and Swim. The season starts February 16th.
The ATC Senior 8.0 mixed team started match play with a win over Timberhill. Results will be posted on the bulletin board.
Dick has a draft for the club advertisement in the Democrat-Herald. Each ad will cost $130, so the ad can be placed 7 times and not exceed the $1000 budget. Let Dick know if any additions to the ad are needed. Several suggestions were made: adding any "special rates" or "limited time" offers, adding "drop in tennis" times, or having something "free" with signup. Anything that will create interest in the club will be considered.
The deadline for the Parks and Rec ad is getting close. The City’s Parks & Recreation Web page has a direct link to ATC’s Web site.
Finance
Tom reported the following year-end financials:
Income $151388
Expenses $147514
Net Income $ 3814
Capital expenses are not in the year-end numbers. Dick suggested we need a cash-flow statement. The main parts of the Club’s current assets are in the Edward D. Jones account. Tom would like the final financial report page to have budget columns for monthly, year-to-date, and % variance. Individual billing will also be updated.
Grounds and Maintenance
Glen reported the new blinds are in and Tim will be putting them up soon. Gutters will be cleaned and a new gutter will be installed over the front door. Tim will talk with Neil Adams about moss removal on the north side of the building.
The new sump pump works great. However, the old drain line has cracked and water has been coming out the cracks in the sidewalk. There could be a plug in the system that caused this. Glen and Tim will move ahead with getting Roto Rooter out to check the line out.
The lifeguard chair will need to be replaced at an estimated cost of $1800.
Swim Committee: nothing to report
Membership/Social Committee: nothing to report, still need someone to head this committee.
Business from Board Members
Dick asked if there was any reaction to the dues increase. So far, the 3 single memberships mentioned in the Manager/Pro report have been the only casualty.
Dale has been working on the new web design and has a prototype of some of the web pages on his computer, which he showed to the Board. The design looks great.
President Laura Hyde adjourned the meeting at 8:32pm.
