Board Meeting
February 24, 2009

President Laura Hyde called the meeting to order at 7:06 p.m.
A motion was made, seconded, and passed to approve the January 27, 2009, Board meeting minutes.
Manager/Pro
Dick reported there is a problem at WaMu with auto deductions; only 3 of 18 Club members were processed. A new system is being implemented as they change over to Chase. Dick asked them to bill those people twice in February (for January and February). Dick is not sure how long we will be able to stay with WaMu due to their change to Chase.
The bill from Safeco (insurance premium) went from $2,850 to $4,184 due to items from 2006 now being implemented.
Dick is still working on the delinquent accounts where people owe money. There are between 16 and 20 delinquent accounts. Dick has sent out a letter and 5 accounts have been resolved. Louis suggested phoning people.
Louis also mentioned that guests are not being signed in. A suggestion was made to put up a sign saying members must sign in all guests.
Summer swim members will not get a key card until they have paid the $450 summer membership fee upfront. Summer membership letters will be sent out in March or April.
Travis reported classes are going well. He will be visiting schools in late March and will be passing out flyers and summer membership information.
The in-house mixed doubles teams have been posted. There are 12 teams signed up.
There is one new junior member, Casey Gilmore, who was approved for membership by the Board. Jim Bissel will be sending in a membership application. Travis reported he took two calls for summer memberships.
Several USTA match scheduling conflicts have been resolved or are in the process of being resolved.
Travis reported several lights on court 3 had bad ballasts and have been replaced.
The Julie O’Hearn fund stands at $975, and Tom reported he has another $350. Edward Jones will let Tom open an account for the money.
Tennis
Dick reported the 3.0 women’s team fell through. Currently there are 4 teams playing USTA: 3.5 and 4.0 ATC/Salem women’s teams and 3.0 and 4.0 men’s teams.
Team results, rosters, and schedules will be posted on the bulletin board.
Finance
Tom reported that he talked with Laurie regarding the new financial reports and what he would like to see reported on them.
The new facilities/equipment reserve fund account is being set up by Tom and Dick: $2,000 startup funding from the mortgage refinancing and then $8,500/year to be deposited into a separate account at Umpqua.
Tom would like to reinstate a scholarship in Julie O’Hearn’s name. This would amount to a one-year junior membership ($326). The coaches at West and South Albany would pick one deserving junior for the scholarship. A motion was made, seconded, and passed that every odd year, offer a one-year junior membership to a non-Senior female chosen by the varsity coach and every even year offer the same one-year junior membership to a non-Senior male chosen by the varsity coach and this scholarship replaces the one adopted in June 2007. Tom will take this to the Julie O’Hearn committee for their input. A letter will be sent to the coaches with this information, which also will include pool privileges.

Dick and Travis will be following up on the pool with Gus Arzner.
Reminder that the new key card system needs to be installed on the swim gate before the pool opens.
Travis reported that he needs to do some outside court cleaning to get ready for high school practice. So far, only the West girls’ coach has called.
Anything relevant for the Web site, get to Dale as soon as possible.
The next Board meeting will be March 24.
