Board Meeting

February 12, 2008

President Laura Hyde called the meeting to order at 7:02 p.m. A motion was made, seconded, and passed to approve the January minutes.

Member Forum: Barb was overwhelmed by the flowers, card, and gift certificate the Board presented her for her many years of hard work for the Club. And many thanks for all the improvements at the Club!

Kim Schueller has resigned from the Board. A motion was made, seconded, and approved to accept her resignation. Bob Scott and Tom Cutsforth will look into finding a replacement.

Pro/Manager

Tim reported the Valentine’s tourney has been cancelled and will be rescheduled sometime in March.

Tim is adding another drill class on Thursday morning from 9:30-10:30. This will be an open drop-in format.

The first junior team tennis match was last Friday (February 8) and had a great turnout. So far, 2 matches have been played with the next match scheduled for Friday, February 15, at ATC. The format is to play a Pro set in boy’s and girl’s singles, boys and girl’s doubles, and mixed doubles.

Tim is formulating dates and working on a game plan for setting up PE classes at Oak Grove, Fir Grove, and Liberty Elementary schools.

Louis mentioned the TV was on full blast this morning when he came in. Tom mentioned some lights have still been left on at night.

The annual John and Phil’s’ tournament had a good turnout at ATC.

There is one new member, Matt Horn. A motion was made, seconded, and approved to accept his single trial membership.

Dick asked if there was anything in the works for the Pro Shop. Tim is waiting for the Wilson representative to get back to him. The representative from Head has offered Tim a contract; so if Tim doesn’t hear back from the Wilson rep, he will go with Head.

Tennis Committee

Dick reported there are 4 adult USTA teams at ATC: 3.5 Women, 4.0 ATC/Salem women, 3.5 men, and 4.0 men. Dick will update the bulletin board weekly with team results.

There was an ATC advertisement in the "Shop Albany" section of the Democrat–Herald February 11. Six more ads are scheduled. Dick will try to get the next ads in the Sports section. Thanks to Dick and Tim for their work on the club brochure.

Congratulations to the ATC Senior Mixed 8.0 team for winning their league and moving on to Sectionals in August.

Finance

Tom reported that the dues are up in the January report due to club members paying their annual dues in advance. Greg asked what dues would be if you pay in advance ($877 for family which includes a 5% discount when paying in advance).

Currently, ATC’s mortgage is in the low $170,000s. We are slowly knocking the principal down. Tom will be working with Umpqua Bank, which holds the mortgage, to lock in a lower interest rate (currently 8%). If we lower the rate, we can lower our payment and we may want to consider extending our payout so we can do more projects.

Grounds

Tim has 2 bids for the keyless lock entry system. This will mean the only access into the club will be by the front door. Each card will be identified to one owner only. The system is hooked up to a computer system, so Tim will be able to keep track of who is using the club. The club will be closed for use from 12:00am to 5:00am. Tim will check back with the "bidders" to get more clarification of some of the items in each quote and get back to the Board at the March meeting.

A motion was made, seconded, and approved to send out a letter from the Board to include the following details:

  1. System details
  2. What we are doing
  3. 1st card will be free
  4. When club will be closed to entry
  5. Effective April 1, 2008
  6. Any comments, submit to Club President

Following is a list of items that have been done or are in the works:

  1. Tree trimmers did a very nice job
  2. New clocks throughout the building and on all the courts
  3. A new gutter is up over the front door
  4. The new janitorial service has been here 4 times
  5. Direct TV service is up and working
  6. The new blinds are in. Tim is waiting for possible club painting before putting them up.

Tim is trying to find time to tackle standing water, plugged drains and gutters, cleaning gutters, and getting gutter guards.

Jason reported he is working on a discount program through Sherwin Williams. He can set up an account for ATC where we can get money back (3%) for the Club. A motion was made, seconded, and approved to have Jason set up an account for the Club.

Swim Committee

Dale reported he would be meeting with Laura and Tim sometime soon.

Membership/Social

Nothing to report.

Business from the Board

A request was received from Leo Krewson to have the Board assume ownership of his single membership due to medical conditions. Tim and Laura will prepare a letter listing the options.

Laura adjourned the meeting at 8:55 p.m.
