Board Meeting

April 28, 2009

Pro/Manager:  Travis Lewin (excused)

President Laura Hyde called the meeting to order at 7:06 pm.

A motion was made, seconded, and passed to approve the March 24, 2009, Board meeting minutes.

Business from Club Members

Carl Love mentioned to Dale that the relay box on Court 1-2 is very loud.  We will have G&E check it out.

Paul Kuebrich asked Tom for a summer membership letter for his son and daughter-in-law.  The Kuebrich’s have an outstanding balance ($75) from their 2008 summer membership; so they did not receive a 2009 letter.  Tom will check with Paul about the balance.

Manager

Dick reported the delinquent/past due accounts are down to:

·        1 junior member is in arrears

·        2 2008 summer members:  one owes $50 and one owes $75

·        1 family membership is in arrears

Also, two trial members are not switching to equity memberships.

The Washington Mutual (WaMu) billing problem has been solved.  Currently, there is around $6,000 in the account.  Dick will close this account and bill the 18 people affected directly.

Pool news:

·        Dick met with Gus Arzner, Dale, Greg, Glen, and Travis to go over pool “stuff”

·        A meeting was held with Emerald Pools to go over the pool bid and how much it would cost to have them drain the pool.

·        A work party has been working on cleaning the joint expansion in the pool, and it is about 95 percent complete.

·        A question was asked regarding how to dispose of the 60,000 gallons of pool water when it is drained.  Laura reported we cannot drain fluorinated water into the city drain; it has to go to a sanitary sewer.  Laura will check this out with the City.

·        The fire hydrant on the corner of 27th and Liberty can be used to refill the pool.  The club will need to call the City Utility Billing to reserve a water meter one week in advance.  There is a $75 deposit for the meter.  Contact needs to be made with the fire department for use of a fire hose. 

·        There is still some patching and that needs to be done and algae to clean off.  Gus Arzner will help with this at a cost of $1,500-$2,000.

·        Regarding the VGB Act pool compliance, a motion was made, seconded, and passed to accept the following bid from Emerald Outdoor Living:

o       Cover, Hayward Stratum, and Labor:  $2,064.19

o       Filter parts:  $1,383.67 – cost of removal of old sand $300 for a total of $1,083.67

o       Two A300 Cal Hypo Chlorinator Units:  $1,198.00

o       Electrician:  $400-500

o       Plus the cost of a CAT Controller I(Dick to check on this)

o       Plus the cost of Gus Arzner’s work crew of around $2,000

Dick reported junior member Anthony Beers has “reupped” his membership.

Tom noticed some of the old poles set in concrete are missing/gone.  Dick said the concrete had been broken off.

Tennis

USTA tennis team results are posted on the bulletin board.

All of the “useable” windscreens have been put up on the outdoor courts.

Finance

Tom handed out several versions for reporting the finances.  Tom and Dick will pick which ones will be used.

Tom will check on having the mortgage put on an auto pay schedule.

The Facilities/Equipment Reserve account is in the process of being set up [$2,000 initial startup and then $708/month for January through March ($708 for eight months and $709 for four months)].  Tom will set this up for auto deposit.

Dick suggested we use some of the WaMu money for pool stuff.

Grounds/Maintenance

Thanks to Greg for making the four new benches for the other two outdoor tennis courts and to Jason for the wood and paint priming.  More benches will be needed for the patio area.  Another work party will be scheduled for the pool area to get things done before opening the pool on Memorial Day weekend.

Swim Committee

Brianna will be working on hiring instructors and scheduling swim lessons. 

The lifeguard chair needs some work done on it.

The pool cover needs repairing.  Tom will check into a local repair shop.

Business from Board Members

Travis is working with John Bell for the installation of key card system on the pool gate.  Regular door keys will work until May 22.

The BPA came back to trim the east side of a birch tree and trimmed and topped a neighbor’s fir tree off the east parking lot.  One fir tree will need to be trimmed next year.

Originally, BPA was going to provide water bags for all of the new trees planted in October 2008.  However, after conferring with the City Forester and the BPA rep, it was decided not to do so.  The watering bags are expensive, are heavy to move when full, and need multiple manual fillings.  The trees currently have a drip hose system around them that is working.

Membership update forms and reminder key card notices [75 family equity; 40 single equity; 3 family trial; and 3 single trial] have been mailed as well as 20 letters to last year’s summer members inviting them to renew for 2009.

One long-term family owes around $1,279.00.  Bob Scott will help in dealing with this matter.  This member won’t receive a membership update form or their key cards until their account has been paid.

Dick and Laura will check into promoting the summer programs in the local newspaper.  [Based on poor results from the 2008 ads and the ad expense, no newspaper ads were placed.]

Travis is working with Jay Clark on promoting our summer programs through the City Parks & Recreation.
