Annual Meeting

Board Members Present:  Laura Hyde, Dick Juntunen, Dale Burrows, Greg Fortier, Jason Hedding, Louis Weinstein, Tom Cutsforth, and Carol Wood

Pro/Manager:  Travis Lewin

Seven Club members were present.

President Laura Hyde called the meeting to order at 7:00 p.m. 

Club Manager/Tennis Pro Report

Travis Lewin reported that his focus for the last three weeks has been on developing a rapport with club members.  Currently, there are 6-7 juniors per class and 5-7 adults per class.  Starting the first of the year, he will be promoting interclub play with juniors and more social activities for adults. 

There will be a holiday mixer/potluck December 20.  Sign up is on the new bulletin board.

Travis reported that he will start working with Dick next week on managerial aspects of the club.

Projects:

Ø      Court light timers are in.

Ø      Key cards:  John Bell will be meeting with Dick and Travis December 12 to go over programming.  The system should be ready for cards the following Monday (December 15).

Ø      Fire inspection went well.

Ø      Move vacuum and scissor lift (safety hazard).

Ø      Hitting schools in January (will help promote club growth).

Ø      More adult social activities (will help promote club growth).

Ø      The bulletin board has been upgraded and looks great.

Travis would like to see a better club brochure. 

Terry Wood suggested “mentoring” new members to help integrate them into the Club.

Finance Report

Treasurer Tom Cutsforth pointed out all the upgrades we have done to the Club this year.  Around $150,000 has been taken in and spent this year.  The Club is in a surplus position right now.  We have been able to put money in an Edward Jones account.

The mortgage was refinanced this year at a 6½% rate, $188,000 (an extra $20,000 was added for club improvements).

The 2009 budget is in its final stages.  An equipment reserve fund will be set up starting with the 2009 budget.

Club Report

Vice President Dick Juntunen mentioned several work parties have done quite a bit of work around the Club.  Some of the latest projects included:

Ø      New rock in the parking lot.

Ø      Culligan water service.

Ø      Club office cleaned up and painted.

Ø      Outdoor club sign has been painted.

Ø      New blinds have been put up.

Dick reported that the Club has been working with Gus Arzner on getting the Club pool in compliance with the Virginia Graeme Baker Pool & Spa Safety Act.  The work must be done and inspected before the pool can open Memorial Day weekend 2009.  The work will be done Spring 2009.

Dick will be working with Travis through January 2009.

Laura mentioned some of the other projects that have been done this year:

Ø      New toilets and showers.

Ø      Tile in the bathrooms and upstairs sink area.

Ø      New benches.

Ø      Cracks and ripples have been repaired on outdoor courts 1 and 2

Ø      New Club Web site designed and maintained by Board Member Dale Burrows.  There is also a link on the City’s Parks & Recreation Web page to the Club.

Ø      Handbook and membership roster are being updated.  Members will be receiving a Membership Information Update form within the next several months.

Ø      Direct TV.

Ø      Outdoor shower fixed.

Ø      BPA planted new trees on the east side of the Club.

Ø      Dirt leveled in the large planting strip where the trees were planted.

Ø      Irrigation hoses were laid around the newly planted trees by Member Egil Johnsen.

A suggestion was made to have an ongoing list of things that need to be done around the Club that members can come in and look at.  If someone would like to do something on the list, let Dick or Travis know.

Another suggestion was made to put a web cam on the indoor courts to check if lights are on, who is using the court, who may be “trashing” the courts, etc.

Another suggestion was made to look into new lighting and to check and see how much electricity the present lights use.
